Upload Contacts

As a domain or facility administrator, you can quickly add multiple contacts to a facility by uploading the contact data in a Microsoft® Excel® file. This bulk upload feature is especially helpful during the Planning phase, when you are setting up a new facility or need to add numerous contacts to an existing organization.

To help you with this process, a template has been created with specific fields, formatting and instructions. The template is accessed and downloaded from within eICS, and after adding your data to the template, you can quickly import and validate contacts.

Note: The upload contacts template allows you to add new contacts to a facility. The template does not allow you to add contacts to multiple facilities, to domains, or to update existing contacts. We recommend you verify that contacts are not already in the system to prevent creating duplicates.

Upon successful upload and creation of contacts, eICS sends the standard Welcome email to the newly created contacts. For contacts with a username, the Welcome email contains a link that directs them to log into eICS, create a password, and update their profile with additional phone numbers or other contact details.

Contact data must comply with formatting conventions, which are outlined in the article Template for Uploading Contacts. Upon successful upload and creation of a contact, eICS sends the standard Welcome email to the contact.

Note: The system automatically removes the uploaded file 24 hours after processing has been completed.

To download the template
  1. Point to Planning and click Contacts. The Contacts for (facility/domain) page opens.

  2. In the Contacts for​ menu, select the appropriate facility or domain.

  3. Click Upload Contacts. The Upload Contacts window opens.

  4. Click Download Template. The template is downloaded through your browser.

  5. Take one of these actions.

    If you are...

    Then...

    Not ready to upload contacts at this time,

    Click Cancel. The window closes and you can return to the upload procedure at another time.

    Ready to proceed with the upload,

    Go to step four, "Click Browse... of the following procedure. 

To upload contacts
  1. Point to Planning and click Contacts. The Contacts for (facility/domain) page opens.

  2. In the Contacts for​ menu, select the appropriate domain or facility.

  3. Click Upload Contacts. The Upload Contacts window opens.

  4. Click Browse. The File Upload window opens.

  5. Locate and select the file.

  6. Click Open. Information about the file appears in the spreadsheet.

  7. If this is the correct file, click Validate. The Upload Contacts window expands to show your results.

  8. Take one of these actions.

    If you want to...

    Then...

    Download and save the file,

    Click Download validated file.

    Upload the file,

    Click Import contacts. The window closes.

    Postpone uploading in order to correct invalid records, Click Cancel.
