Create a Resource

If you have the appropriate rights and permissions, you can create a new resource.

The process of creating a new resource can involve the following steps:

  • Specify the resource's details.

  • Assign users to the resource - If you or your role has been granted the right to

  • configure user access, the workflow automatically includes this step.

  • Restrict visibility into the resource's status types.

You may also want to add status types to this new resource.

Note the following about resources and these procedures:

  • Abbreviations may be used in text notifications and reports.

  • The AHA ID (American Hospital Association identification number) is required when the resource sends detailed HAvBED information to Health and Human Services (that is, resource-specific data rather than a State summary).

  • If you select the Reports HAvBED data option, State is required.

  • Fields marked with a double asterisk (**) are required.

  • For more information on resource details (fields), refer to About Resources and Sub-Resources.

To specify a new resource's details
  1. From any page, open the Setup menu in the main navigation bar and select Resources. The Resource List opens.

  2. Click Create New Resource. The Create New Resource page opens.

  3. Complete the appropriate fields:

Field Description

Name

Name of the resource (required).

Abbreviation

Abbreviation for the resource (required).

Tip: Abbreviations may be used in text notifications and report.

Resource Type

Grouping of resources, such as by type or proximity (required); select from your region-defined list of types; on your region views, the resource's type defines how it is grouped with other resources, as well as its inherited status types.

Standard Resource Type

Predefined list of resource types or categories (required); this determines the resource's icon for display on the map view; you can also use it as a search term on a number of search pages.

Reports HAvBED data

Select the check box to include this resource when reporting HAvBED data to HHS; to exclude the resource, clear the check box; refer also to HAvBED.

Share with Other Regions

Select this check box to share this resource's information with regions with which you have established and activated a mutual data sharing agreement; clear the check box to remove sharing of this resource.

AHA ID

American Hospital Association identification number; required when a resource sends detailed HAvBED information to Health and Human Services (that is, resource-specific rather than a State summary.

External ID

Unique identifier (primary key) for use with an external interface/program; this identifier is established outside of EMResource; contact Intermedix for more information.

Address

Enter the resource's street address, city, State, ZIP code, and county; if the Reports HAvBED data option is selected, State is required.

Latitude / Longitude

After entering the resource's address, click Lookup Address to obtain the latitude and longitude for the resource; the system automatically populates the information
in these fields and shows a map of the resource's location.

Click View Map to open a map showing the location of the resource; drag and drop the icon to refine the location and latitude and longitude

Tip: If you are unsure of the address, enter the resource's city and State and click View Map. Click and drag the red icon to any location in the map; the system automatically provides the correct latitude and longitude. It may be helpful to switch to the satellite view to display the buildings in the area.

Website

Enter the resource's website address (URL).

Contact Information

Enter the resource's contact information, such as the contact's name, address, phone and fax numbers, and email address (first and last name are required).

Notes

Enter notes or comments about this resource, as appropriate.

View Rights

Select to automatically allow all users to view the resource. By default, this option is selected.

  1. Click Save. One of the following occurs:
  • If you are authorized to configure user access, the Assign Users to (resource) page opens. Refer to the next procedure.

  • If you are not authorized to configure user access, the list of resources re-opens.

To assign users to this resource

You can remove or change a user's access to this resource. In the Assign Users to (resource) page (the second page of this create process), you can select and clear check boxes to add to or change a user's access to this resource; clearing all check boxes removes the user's access to the resource.

Note: If you do not assign the view right to at least one user, this resource will not be visible to any user. To grant view access to all users, select the View Resource check box in the header of the Assign Users to (resource) page. To grant view access to a subset of users, select each individual user's View Resource check box.

If you grant Associated With, Update Status, and/or Run Reports resource rights to a user, you must also grant (select) the View Resource right.

A number of filters are available to you at the top of the Assign Users to (resource) page. In addition to filtering by role, resource types, and username, you can filter the list of resources by the rights you can assign in this section: association with the resource, update status, run reports, view resource, and administer users.

To assign users:

  1. Select and clear check boxes to add to or change a user's access to this resource, or use the check boxes in the header to select all users for this level of access.

  2. If you are done, click Save at the bottom of the page, or to restrict the status types that are visible to a user, see the following procedure.

To restrict visibility

By default, when setting up a new user account, that user can view all of the resource's status types. You can restrict user's visibility into the resource's status type as follows:

  1. Locate the user and click the Refine link next to the user's View Resource check box. The Refine Visible Status Types window opens.

  2. Select or clear status types.

  3. Click Save Changes. The window closes.

  4. Click Save in the Assign Users to (resource) page.
