Create an Event Template

Event templates help users quickly and easily create new events. Templates help you identify in advance certain aspects of a particular type of event. This can save time when an actual event occurs.

Authorized users can create new event templates and specify default elements for this type of event. The user must also specify the types of events for which this template is appropriate. This Definition appears in the Event Template List, helping other users to determine whether the template is appropriate for their current needs.

Note the following about event template creation:

  • You can test the audio by clicking Test.

  • The exact location of an emergency event can be a crucial element in your response efforts. In these cases, select the Mandatory Address check box to require that the event creator supply certain location details (City, State, and County).

  • The Status Types you choose for the template must be appropriate for the resource type(s) you selected.

  • You can associate up to 50 status types with a template.

Note: Including many resource types and status types may cause problems for users running older computers and/or browsers.

After creating the template, you can set up or change the:

  • Types of notifications sent to users and resources (email, pager, and/or web).

  • Template security. This option is available if you select the Security check box when creating or editing a template. If selected, you can specify in the template's Event Security page the users who can activate and update this type of event.

To create an event template
  1. From any page, open the Event menu and click Event Setup. The Event Template List opens.

  2. Click Create New Event Template. The Create New Event Template page opens.

  3. Complete the appropriate fields:

Field

Description

Template Name

Name of the template (required). Appears in the Select Event Template page, when creating an event, as well as the Event List. It also appears in the Event Template List for those who manage templates.

Definition

Brief definition of the template (required). The template creator/editor must specify the types of events for which this template is appropriate. This Definition appears in the Select Event Template page and Event Template List, helping other users to determine whether the template is appropriate for their current needs.

Default Event Title / Information

Default event title and details. The user can add to, change, or delete this information when creating an event based on this template.

Standard Event Type

Predefined list of types; if none of the types is appropriate, you can select Other or nothing at all (not required).

Alert Audio

Sound that users will hear when the system notifies them that an event of this type has occurred.

Tip: To hear what the alert sounds like, select it from the list and click Test.

Associated Icon

Icon associated with this type of event; it appears in a number of places, including the event banner, in View pages next to resources involved in the event, and in the template itself.

Event Color

Color of the banner background when it opens for this type of event; for example, your region may have specified that all MCI events have a red banner.

Active

Event template is active; if this check box is cleared, the template will not be available to users and, by default, will not appear in the Event Template List.

Security

Control security from this template; this identifies the users who can activate and update an event that is based on this event template.

Tip: If you select the Security check box, you can set up the users who can activate this type of event, update it, and end it. For more information, refer to Set Up Event Security.

Multi-Region

Template for information-only events that can be shared with multiple regions simultaneously.

Mandatory Address

When selected, specifies that certain address fields (City, State, County) are required when creating an event from this template.

The exact location of an incident can be a crucial element in response. Therefore, for templates designed to address unplanned events, you will want to select this check box. This requires the event creator to supply these location details.

Templates set up for non-emergency events (that is, purely informational in nature) should not require address detail. For these events, do not select this check box.

By default, this field is not selected.

Resource Types

Resource types that will be available to associate with an actual event.*

Status Types

Status types that will be associated with an actual event; the user must choose status types appropriate for the selected resource type(s).

You can associate up to 50 status types with a template.*

Tip: Use the search fields to locate the status types you want to select from.

*Note: Including many resources types and status types may cause problems for users running older computers and/or browsers.

  1. Click Save. The Event Notification Preferences for (template name) page opens.
