Create a Standard Notification

The Notifications tab allows you to send notifications informing users of deadlines, invalid submissions, and more. Two types of notifications are available: Standard and Automated. Standard notifications can be sent by all administrators on the fly to anyone in the system for any purpose. When sending a notification, you can select from the preset templates or any created templates, or you can create your own notification.

To create a Standard Notification

Tip: Required fields are marked with an asterisk (*).

  1. From any page, go to Notifications: Standard. The Standard Notifications page opens. The image below reflects the page as seen by DOH Administrators. What you see may be slightly different if you are a Department or Health System Administrator.

  2. Click Create Standard Notification. The Create Standard Notifications page opens.

  3. Enter information in the fields.

  4. Click Send.

Template
The template to be used for the standard notification.

Note: If you select a template, many fields are automatically populated. If you want to save a new notification as a template, click the Save as New Template link.

To
Who should receive the notification.

For Department Administrators, the options include:

  • All Users Designated to Receive Group Emails – These recipients are specified in Administration: Configurations and added to the Group Emails section.

  • All Department Administrators in State – This option includes all users who have a Department Administrator role in the system's state.

For DOH Administrators, the options include:

  • All DOH Users in State – This option includes all DOH users in a single system.

For Health System Administrators, the options include:

  • All Health System Administrators in Health System – This option includes all users associated with the System Administrator role in the Health System.

  • All Department Administrators in Health System – This option includes all users associated with the Department Administrator role in the Health System.

Subject
Subject of the message. To add elements that may change based on the message and recipients, click Add Variable. For example, if you are sending a warning to several departments about a missing events submission for a specific month, you may want to add a month variable that specifies the correct month for each department.

Message
Message content. To add elements that may change based on the message and recipients, click Add Variable. For example, if you are sending a warning to several departments about a missing events submission for a specific month, you may want to add a month variable that specifies the correct month for each department.

Delay Send
Delay when the message is sent. If you would like the system to send the message at a later date, select the date from the calendar. If a date is specified, the message is sent on the first processing hour of that day.

Delivery Method
How you would like the system to deliver the message.

  • If you want a notification window to appear immediately after the recipient logs in, select Login Notification. You may then also select an End Date, which is the last day the notification will be delivered to users.

Note: If you do not select an End Date, the notification will continue to be sent to all users on login until you stop it by clicking the End Now link in the Standard Notifications table. You may also select from the tracking options below on Login Notifications.

  • To send the message to each recipient's email address, select Email.

Tracking
How recipients should respond to login notifications. Selecting an option determines what the recipient sees when they receive the notification.

Note: This field only appears if Login Notification was selected as a Delivery Method.

Send Test Email
To send yourself a test email before sending the notification, enter your email address and click Send Email.
